In plain language: this policy explains what happens to information you share with us through the ClaimClean website and its contact forms — what we collect, how we use it, how long we keep it, and how to reach us about it. Last updated July 2026.
1. What this policy covers
This policy applies to the public ClaimClean website at claimclean.com and to inquiries you submit through it, including the contact form. It describes our practices as the operator of this website.
It does not cover data processed within ClaimClean products or pilot engagements. Claim data, medical records, and any related material handled during a pilot or production deployment are governed by separate written agreements, including data-processing terms negotiated with each customer.
2. Information we collect
When you submit the contact form, we collect the details you choose to provide: your name, work email address, organization, organization type, role, country, area of interest (such as pilot, partnership, investor, advisor, or hiring), approximate monthly claim volume, and your message.
If analytics are enabled on the site, we may also collect basic technical data such as browser type and the pages visited. This data is used in aggregate to understand how the site is used, as described in the Analytics section below.
3. How we use your information
We use the information you submit to respond to your inquiry, to scope potential pilot engagements, and to route your request to the right founder or team member. For example, pilot and partnership requests go to founder sales, and compliance or security questions are routed to the founder and technical lead.
Business communication from us is consent-based. The contact form includes a consent checkbox, and we contact you about ClaimClean only where you have agreed to hear from us. You can withdraw that consent at any time by emailing us.
4. Do not submit PHI through this website
If PHI is submitted through a website form despite this notice, we will delete it as soon as we become aware of it and may contact you to arrange an appropriate channel.
5. Analytics
The site may use privacy-respecting analytics to understand aggregate usage — for example, which pages are visited most and what types of browsers are in use. We do not sell personal information, and we do not use website data to build advertising profiles.
6. Data retention
We keep inquiry data only as long as it is needed for the business relationship it relates to, or as required by applicable law. When an inquiry is no longer active and no legal obligation requires retention, the associated data is deleted.
7. Your choices & rights
You may request access to the inquiry data we hold about you, ask us to correct it, or ask us to delete it. You may also withdraw your consent to business communication at any time. We respond to these requests within a reasonable period and may need to verify your identity before acting on them.
